Description:

POSITION TITLE: ADMINISTRATIVE ASSISTANT LOCATION: ST. PIUS X CAMPUS

OBJECTIVE: Provides the Parish Community, Pastor and Priests administrative support to further a Catholic community atmosphere for all people contacting the parish office whether in person or by telephone.
SCOPE: This is a full-time, non-exempt position based on 40 hours a week, Monday thru Friday, 52 weeks a year.

ADDITIONAL REQUIREMENTS

  • Pass and keep current background check on file.
  • Participate in all Safe Environment Training and Virtus as prescribed by the Archdiocese of Seattle.
  • Maintains a level of confidentiality and professionalism with regards to work/church related issues.
  • Evaluation: This position reports to the Pastoral Assistant for Administration. Performance is to be reviewed at least annually.

QUALIFICATIONS: Is a fully initiated Catholic Christian in good standing with the Church; demonstrates a living faith within the Church; has knowledge of the Catholic Christian Tradition of doctrine and worship. Because this position deals with many people from all levels, a pleasant and friendly personality is critical, along with other interpersonal skills, both verbal and written. Must be proficient English and Spanish.

  • SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions, these might include but not limited to: preparing and maintaining accurate records; data entry, operating standard office equipment; and utilizing pertinent software applications.
  • KNOWLEDGE is required to perform duties following prescribed or new formats of the Archdiocese. Specific knowledge necessary to perform the functions of the job include: telephone etiquette; fluent English/Spanish grammar/punctuation/ spelling/vocabulary; office equipment/software; and office business practices.
  • ABILITY is required to work with diverse populations; learn, work with and manage various data applications, adapt to changing priorities; manage workload with frequent interruptions; and display tact and courtesy.

Responsibilities:

ESSENTIAL FUNCTIONS:

  • Assures a hospitable and welcoming presence for parish visitors, providing appropriate assistance, referrals and directing individuals appropriately.
  • Answers telephone and emails, resolves callers concerns and assures accurate and prompt transmission of messages.
  • Provides general information to people calling or visiting the parish. Utilizes other church, social service, community and/or government directories to provide accurate and helpful information to people.
  • Maintains Parish information such as mass/group meeting schedules, staff directories, emergency contacts and other information as deemed necessary.
  • Maintains reception area ensuring cleanliness and updated materials and information are available. Must be able to learn essential sacramental information for the purpose of providing information and resources to visitors.
  • Performs general secretarial functions supporting office operations such as receiving deliveries, mail distribution, form/brochure development, correspondence for the office, scheduling, copying, faxing, data entry, filing, and other similar duties as assigned.
  • Assist in processing a variety of sacramental records for the purpose of conveying information according to Archdiocesan guidelines and regulations.
  • Receives Mass intentions from parishioners, documents appropriately and provides to the sacristans prior to mass.
  • Maintains parishioners data, updates computer file, mailing list, and offering envelope records with additions, deletions, and address changes.
  • Maintains data entry of stewardship program campaigns.
  • Records weekly contributions of parishioners into individual records on the computer.
  • Performs other duties as assigned by the Pastor, Priests and Pastoral Assistant for Administration.
