The Flushing YMCA is seeking an Administrative Assistant. Under the supervision of the Youth and Family Director, the Administrative Assistant will play a critical role in the successful operation of on-site and off-site programs. The Administrative Assistant will carry out daily administrative and operational responsibilities while maintaining excellent communication with the Youth and Family Director, branch, and off-site staff. They will ensure an atmosphere of professionalism, friendliness, and safety within the facility.

DESIRED SKILLS & EXPERIENCE:

  • Associate’s Degree, experience in related field required or equivalent work experience. Bachelor’s Degree preferred.
  • Minimum of One (1) year of administrative experience and experience working with staff and volunteers
  • Knowledge of Microsoft Excel, Word, Publisher, and PowerPoint.
  • Excellent interpersonal communication – written and oral, project management, and organizational skills.al communication – written and oral, project management, and organizational skills.

Responsibilities:

  • Ensure the health, safety, and well-being of participants in the program by always providing appropriate supervision.
  • Maintain accurate program documentation (POs, Receipts, behavior reports, incident reports, and accident reports, as appropriate).
  • Maintain attendance online systems, AS400, EZ Reports, Oracle E-Business, and support the Community School’s data check work.
  • Prepare attendance sheets and binders for all programs.
  • Work cooperatively with professional staff at the branch, off-site directors, and staff at JHS 189.
  • Promote an inclusive, welcoming, and respectful environment that embraces the diversity of all participants.
  • Create and maintain a strength-based, youth-focused atmosphere that is consistent and sensitive to the needs of participants with learning, emotional, or behavioral differences.
  • Serve as a positive role model for participants.
  • Provide administrative assistance to other branch departments as needed.
  • Other Duties as assigned.
