THIS POSTING IS FOR 1 TEMPORARY FULL-TIME POSITION UP TO 12 MONTHS

The Administrative Assistant I provides proficient administrative support to the Integrated Communications, Change and Engagement branch management and staff. This role encompasses routine administrative duties, administrative tasks for project support and specialized assignments as required.
The ideal candidate for this role will excel in a dynamic and fast-paced environment, demonstrating outstanding multi-tasking abilities, communication skills, and the capacity to foster interdepartmental teamwork.

QUALIFICATIONS AND SKILLS:

  • High school diploma with a minimum of 5 years administrative experience preferably in a municipal environment
  • A administrative assistant certificate or additional training is an asset
  • Proficient in office administration and all Microsoft Office products, specifically Word, PowerPoint, Outlook, Excel, OneNote and SharePoint
  • Excellent interpersonal and customer service skills to communicate effectively with internal and external customers in a diplomatic, positive, and professional manner
  • Ability to recognize and deal with confidential matters in a discreet and professional manner
  • Strong organizational skills with the ability to work independently and multi-task effectively

Responsibilities:

  • Oversee the branch manager’s calendar, proactively scheduling meetings, preparing agendas, sending invitations, arranging meeting materials (e.g., binders, agendas), track key dates to support the branch workplan, and manage all preparation and follow-up tasks, including taking minutes and tracking action items
  • Monitor and manage the branch manager’s and branch email accounts, drafting and proofreading responses, forwarding emails to relevant team members, and flagging sensitive or urgent communications for the branch manager’s attention
  • Monitor project or policy related documents, records, and spreadsheets
  • Proactively manage project tasks including sending reminders to project leads for updates
  • Administration of SharePoint sites, Insider pages (including branch sites, Oracle support pages, Communities of Practice, Policy and Project sites etc.), public websites and act as a subject matter expert for potential improvements
  • Proofread reports, presentations, and enclosures to ensure that they are clear and align with the report writing guidelines for Council, Executive Team and Senior Leadership Team reports
  • Support the branch as the contract administrator, manage the creation, closing and change requests of purchase orders
