GENERAL DESCRIPTION
Citrus County is seeking a dedicated and enthusiastic Administrative Assistant to join our dynamic team. The Administrative Assistant II position performs advance clerical work and administrative office support for the Division of Library Services. The schedule for this full-time position is Monday through Friday, 8:00 AM to 5:00 PM. This position is located at the Library Administrative Office, Beverly Hills, Florida.
EDUCATION, TRAINING, AND EXPERIENCE
- Associate degree, vocational technical degree or specialized training that is equivalent to satisfactory completion of two (2) years of college education in Public Administration, Business Administration, or closely related field.
- Two (2) years of relevant experience in performing administrative/clerical duties.
Certificates, Licenses, Registration, Skills
- Valid Florida Driver License (or must obtain within 30 days of establishing residency in Florida), or valid Florida Identification Card is acceptable only for positions not required to drive a county vehicle.
- Excellent customer service skills, communication skills and strong attention to detail required.
- Knowledge of business English, spelling, and punctuation.
- Knowledge of office practices and procedures. Ability to type and compose routine business letters and memorandum.
- Must have strong organizational skills to plan, prioritize, multi-task and independently execute projects/tasks within specific deadlines while maintaining flexibility.
- Ability to effectively communicate (verbally and in writing) in a clear, confident manner using proper grammar.
- Requires ability to maintain courteous and effective relations with County staff, elected officials, community interest groups and the public.
- Must have strong working knowledge of computers and be proficient in the use of Microsoft Office Suite of Products (i.e., Outlook, Word, Excel, etc.).
- Must have or be able to obtain within 90 days certification in FEMA National Incident Management System (NIMS) courses:
- IS-100.c: Introduction to the Incident Command System (ICS); and
- IS-700.b: An Introduction to the National Incident Management System
Physical Requirements/Work Environment
- Requires sitting most of the day.
- The job involves frequent lifting and carrying up to 10 pounds, and occasionally up to 20 pounds.
- The job requires occasional bending, squatting, kneeling, balancing, twisting, and reaching above shoulders.
- The job requires the completion of tasks that involve typing, simple grasping, fine manual manipulation, pushing, and pulling.
- The job requires normal visual acuity and field of vision, depth perception, hearing, and speaking.

Emergency Response/Recovery Activities
- All employees will be required to work before, during, or after an emergency. During an emergency, employees may temporarily be assigned to work and perform duties outside the normal scope of their position, location, and work schedule to fit the needs of the County and its citizens. Emergency response duties may also include driving and/or operating a county vehicle or equipment and employees must obey all safety policies, and roadway rules and laws.

Responsibilities:
- Functions as Library Services Director’s administrative assistant to perform administrative responsibilities.
- Maintains agendas and takes minutes at the Library Advisory Board meetings.
- Maintains accurate files and records.
- Assists, trains, and supervises volunteers.
- Handles general correspondence and scheduling for Library Services Director and Library Advisory Board.
- Prepares letters, documents, memos, and reports.
- Performs data entry and utilizes Excel spreadsheet functions to track information and produce reports.
- Maintains online meeting room schedule and calendars.
- Prepares daily bank deposits, completes purchasing card reporting, and other financial duties.
- Acts as a regular backup for payroll processing.
- Oversees the Library System’s asset inventory.
- Performs weekly and monthly checks and maintains supply inventory reports.
- Performs additional clerical and customer service duties to assistance the library administrative office.
- Performs data entry tasks on computer for informational and record keeping purposes.
