Description:
MINIMUM REQUIREMENTS:
High School Diploma/GED with two (2) years of related experience or an equivalent combination of education and experience. Grade 2 (Hourly)
POSITION DESCRIPTION:
The Administrative Assistant II is part-time 30 hour per week, hourly position responsible for aiding the success of our Student Organization community at the University of Louisville. The Administrative Assistant II supports administrative operations, programming initiatives, and advisement of the Student Organization Advisory Board (SOAB). The scope of the job is broad and requires skills for and knowledge of working in a professional setting, like customer service, organization, interpersonal skills, and data entry as well as student advising. The position requires some familiarity with social media marketing techniques, preparing promotional materials, student leadership development and organizing events and projects.
This is a non-continuing term appointment and is renewable annually.
Essential Duties and Responsibilities:
- Provide program assistance and support for student organizations in the Office of Student Involvement. Specific duties include assisting with record keeping, supporting the growth of our community, and updating information on social media.
- Serve on the advisor team of the Student Organization Advisory Board. Assist with the development and implementation of year-round training programs for SOAB officers. Attend SOAB meetings and events, as requested. Work with committee and program leaders to coordinate events and service opportunities.
- Assist with special recognition programs for student leaders, such as the Student Awards, Involvement Summit, and Engage Trainings.
- Serve as an active member of the Office of Student Involvement, attend meetings, participate in departmental and divisional planning and evaluation processes and contribute to developmental goals and objectives. Provide assistance to other members of the staff as requested and assume additional responsibilities within the scope of the position as required. Provide support for special events and functions that occur within the department as well as among different departments and student group, including orientation presentations and SOSer training. Enhance personal and professional development through programs for the office and Division of Student Affairs. Provide information to the Assistant Director as requested. Maintain ongoing working relationships with university faculty and staff. Serve on departmental, divisional and University committees.
Although much of the job involves organizing and following directions effectively and efficiently, the Administrative Assistant is expected to exercise judgement within the realm of his/her position.
May require occasional travel between university buildings to meet with others.
Preferred Qualifications:
- Bachelor’s degree and one year experience in a professional setting. Preference for candidates interested in student affairs or higher education as a career.
