TITLE: Administrative Assistant II
JOB OVERVIEW: The Administrative Assistant serves as a coordinator for VP and Directors of Perioperative Services and is responsible for the efficient coordination of all activities within Perioperative, Endoscopy, Imaging/Radiology and Ancillary area and completion of all secretarial/clerical duties in a timely and organized manner.
DEPARTMENT: Perioperative Support Services and Imaging Support
WORK HOURS: Monday through Friday
REPORTS TO: VP Perioperative Services

QUALIFICATIONS:

  • Capable of comprehending, executing, acting, and directing independently.
  • Able to communicate effectively in oral and written form in the English language.
  • Knowledge of health care terminology.
  • Able to discern priorities and manage timelines, while meeting deadlines and managing priorities.
  • Demonstrates effective interpersonal skills and familiar with customer service.
  • Required competency with Microsoft Word, Outlook, Excel, PowerPoint
  • Ability to provide administrative support to the organization at the executive/administrative level.
  • Prefer competency with data abstraction from EPIC for reporting purposes
    UNIQUE PHYSICAL/MENTAL DEMANDS, ENVIRONMENT AND WORKING CONDITIONS: Must be able to use computer for prolonged periods of time. May entail long periods of sitting at desk. Requires ability to multi-task with ease and meet tight deadlines to support the various needs of the perioperative and imaging leadership and education teams.

ESSENTIAL RESPONSIBILITIES AND COMPETENCIES:

  • Provides support to the VP, director and manager positions and is able to interface with multiple managers outside of Perioperative Services.
  • Maintains meeting minutes for Administrative/Leadership Meetings as requested.
  • Communicates effectively with staff and managers to facilitate accurate and timely submittal of meeting minutes.
  • Navigates confidently through a variety of computer programs.
  • Demonstrates ability to assist in basic math calculations.
  • Effectively discerns priorities and anticipates impact for management of calendars.
  • Maintains systems to assist with monitoring personnel evaluations and required routine managerial reports.
  • Offers initial response to public inquiries in absence of administrator and knows how to seek counsel when required.
  • Understands the implications of working with staff who are represented by contractual agreements.
  • Recognizes issues that may impact group effectiveness and is able to share observations as appropriate.
  • Assists in arranging applicant interviews, travel, and accommodations.
  • Maintains 100% confidentiality for all communications.
  • Maintains an organized filing system for quick retrieval of information.
  • Assists in special event planning.
