The Chadwick A. Boseman College of Fine Arts, Department of Theatre Arts seeks and Administrative Assistant to join our team. The successful candidate will perform a variety of advanced office/administrative support duties which require a thorough knowledge of functions within the department. The incumbent performs clerical and secretarial work, involving responsibility, complexity and variety to a busy office environment. This position reports to the Department Chair.

MINIMUM REQUIREMENTS:

High School diploma or GED and 1-2 years of responsible secretarial experience. Vocational or other technical school, training or apprenticeship beyond HS may be substituted for work experience.

Responsibilities:

SUPERVISORY ACCOUNTABILITY:

Responsible for orienting and training others, assigning and reviewing their work. May also be responsible for acting in a “lead” or “senior” capacity over other positions performing essentially the same work, or related technical tasks and reporting to a higher level on a formal basis.

PRINCIPAL ACCOUNTABILITIES:

Directs the workflow of the office. Develops and implements office procedures and practices. May assign and monitor student workers, as directed.
Greets visitors to the office and directs them to the proper destination or answers questions. Provides assistance within scope of knowledge and responsibility.
Answers telephone, directs calls to appropriate employee or answers questions.
Review accounts, reports, records or other documents for completeness, accuracy and conformity within established procedures; collects data to maintain such records.
Opens and closes classroom spaces.
Performs a variety of typing assignments, including reports, student handbook, etc. Uses the computer to maintain spreadsheets and databases. May prepare presentations.
Assembles data and composes a variety of correspondences for the department.
Schedules classes, appointments, meetings, conferences and arranges travel. May maintain calendar of one or more high level employees in the department.
Maintains bulletin board, posts notices and keeps information current.
Receives incoming mail, packages and notices. Duplicates and distributes information, notices, etc., to members of the department.
Maintains department files and filing system, both hard copies and computerized files.
Records and/or takes notes at meetings. Maintains various logs and ledgers.
Assists with cataloging of documents and files.
Prepare work orders, supply requisitions, requests for special data or similar actions within established limits and procedures; obtains appropriate signatures.
Utilize the university’s computing software and databases, as required, in the execution of administrative and clerical duties and responsibilities.
Performs other job-related duties as assigned.
