The Administrative Assistant for the Community Impact team is responsible for providing comprehensive administrative support either directly or indirectly to a member of senior leadership, but not limited to the division. The incumbent will be responsible for handling sensitive information and for maintaining professionalism in interacting with all levels of the organization, as well as with external constituents.
Job Responsibilities:
- Manages calendar and meeting related tasks in order to prioritize scheduling demands and logistics (i.e. scheduling meeting rooms, catering orders, etc.)
- Acts as a trusted advisor for the respective senior leader or division in order to provide perspective on various matters needing decisions. Maintains confidentiality for matters that may be proprietary, insider, financial related at the department and division level
- Manages and/or assists with projects that may vary from small to far reaching in scope and impact on a department and divisional level.
- Acts as a liaison between internal and external contacts and the respective senior leader and/or division.
- Performs administrative duties for their respective senior leader and/or division, including but not limited to answering phones, sorting mail, processing expense reports and invoices, keeping meeting minutes, making travel arrangements, ordering supplies, etc.
- May assist the senior leader and/or division members with the financial planning process
- Set-up and clean-up of conference rooms and Resource Rooms
- Performs other duties as assigned
Minimum Qualifications:
- High school diploma or equivalent required.
- Some previous college education preferred.
- Must have 7+ years of previous administrative and office management experience.
- Previous database management experience is preferred.
- Previous calendar management experience is requirement.
- Must be proficient in Microsoft Office, specifically Word, PowerPoint and Outlook, with advanced skills using Excel.
- Must possess the ability to multi-talk and have excellent organizational skills.
- Excellent oral and written communication skills is required.
- Must possess a strong degree of flexibility and the ability to adapt to an ever-changing list or priorities.
- Must have excellent interpersonal skills with the demonstrated ability to successfully interact with all levels of management including EVPs, peers and the community.
