Description:
At Grafton Recruitment we are looking for a highly organized and dedicated Administrative Assistant to join our team. The ideal candidate must have exceptional communication skills in English (intermediate/advanced) and must be able to handle administrative tasks such as appointment management, report writing and document organization.
Main functions:
- Front desk reception, answering the phone, receiving, distributing, and sending correspondence, greeting guests, scheduling meetings for events, supporting events (buying food, settling the room and equipment), and contacting courier service.
- Ordering stationery, groceries, furniture, and IT equipment. Building access cards, building access, building garage. In charge of the building maintenance, contacting vendors, and finding new vendors. Surprise and Delight. Contact printer provider. And anything related to facilities.
- Support EAs when needed. Contacts in CRM, events, etc.
- Downloading invoices, analyzing Personal invoices, and following up on invoices with incorrect charges or dates.
- Help with events in the Santiago Office.
- Supporting special dates such as Father’s Day or Promotions Day (buying gifts) and supporting the new entrance. Future activities to be added, such as carpooling, etc.
- Support scheduling document signatures and buying random gifts.
Requirements:
- Graduate in Business Administration or related careers.
- Experience of at least 3 years performing similar functions
- Intermediate/advanced command of English
- Office and ERP skills
