Description:
The Administrative Assistant IV shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose: To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost.
This position provides administrative support for the World Missions (WM) Director, administrative linkage and communication between WM and its ministry and administrative partners and assists the WM Director with responsibilities and relationships to WM home team, Regional Reps and leadership team, national leadership, mission leaders, NLT members, overseas receivers and country leaders, international Regional Directors, and IET members.
Responsibilities:
Administrative Responsibilities [95% of time]
- Facilitate Director’s Team meetings and help manage the WM Director’s email, calendar, and tasks.
- Assist World Mission Director with priorities, deadlines, and correspondence.
- Prepare for meetings, track commitments, distribute meeting notes and handle communications.
- Oversee WM email inbox and correspond or assign inquiries to appropriate WM team member.
- Oversee and setup WM meetings and events, including but not limited to WM monthly lunches, retirement parties, and WM leadership meetings.
- Complete expense reports on behalf of the WM Director.
- Arrange travel and perform other administrative tasks as needed.
- Exercises independent judgement on behalf of the World Missions Director within agreed-upon limits
- Track newsletter prayer requests for all WM Staff.
- Participate on committees on behalf of WM, including but not limited to building committee, day of payer committee, and international crisis team meetings.
- Create and distribute weekly ECONNECT to Home Team and Monthly CONNECT to all overseas staff.
- Additional Responsibilities [5% of time]
- Participate in Navigators’ on-site learning and development events, Cultural Development and Diversity trainings, or other non-Navigator developmental events as appropriate.
- Participate in annual processes, such as the organizational Plan and Progress Review (PPR), Engagement Survey, Reaffirmation of the Navigators Code of Conduct, Calling-Core Values-Vision, Statement of Faith, Driver’s Authorization, and other releases as required.
- Submit time worked on a weekly basis through the Workday Time Tracking system.
- Submit expense report by the 15th of every month.
- Other job-related duties as assigned.
