Description:

JOB SUMMARY

We are seeking a mature and responsible Administrative Assistant to join our team. This position requires strong communication skills, excellent phone etiquette, and the ability to manage multiple tasks in a fast-paced environment.

EXPERIENCE

  • Previous experience in an administrative role is preferred, particularly in a property management and construction office.
  • Proficiency in data entry and familiarity with office software applications is essential.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Demonstrated phone etiquette and effective communication skills are necessary for this role.
  • Candidate must possess good math skills. These skills will be required on a daily basis from basic arithmetic to calculating percentages.
  • Must know how to create Excel spreadsheets complete with formulas.
  • Good use of memory will be required
  • Training will be provided but candidate will be responsible to maintain notes in order to perform task after training is provided.
    Job Type: Full-time
    Pay: $18.00-$24.00 per hour
    Expected hours: 40 per week

Responsibilities:

  • Manage front desk operations, greeting visitors and clients with professionalism and courtesy.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Handle incoming phone calls, addressing inquiries and directing them to the appropriate personnel.
  • Organize and maintain files, both electronic and paper, ensuring easy retrieval of information.
  • Candidate will work directly with Executive Assistant to scan documents to be filed electronically to maintain our SharePoint site.
  • Creating folders for several yearend files. Creating and applying labels to these folder and filing them.
  • Reviewing and revising lease agreements.
  • Progress billing for construction contracts.
  • Submit group benefit claims for management
  • Create expense report for employees using Excel.
  • Using Adobe Pro to complete forms
  • Maintain electronic mail
  • Running errands, doing bank deposits
  • Ordering lunch
  • Maintaining office equipment
  • Loading and unloading of dishwasher
  • Other duties as required and requested
