Description:
JOB SUMMARY
We are seeking a mature and responsible Administrative Assistant to join our team. This position requires strong communication skills, excellent phone etiquette, and the ability to manage multiple tasks in a fast-paced environment.
EXPERIENCE
- Previous experience in an administrative role is preferred, particularly in a property management and construction office.
- Proficiency in data entry and familiarity with office software applications is essential.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Demonstrated phone etiquette and effective communication skills are necessary for this role.
- Candidate must possess good math skills. These skills will be required on a daily basis from basic arithmetic to calculating percentages.
- Must know how to create Excel spreadsheets complete with formulas.
- Good use of memory will be required
- Training will be provided but candidate will be responsible to maintain notes in order to perform task after training is provided.
Job Type: Full-time
Pay: $18.00-$24.00 per hour
Expected hours: 40 per week

Responsibilities:
- Manage front desk operations, greeting visitors and clients with professionalism and courtesy.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Handle incoming phone calls, addressing inquiries and directing them to the appropriate personnel.
- Organize and maintain files, both electronic and paper, ensuring easy retrieval of information.
- Candidate will work directly with Executive Assistant to scan documents to be filed electronically to maintain our SharePoint site.
- Creating folders for several yearend files. Creating and applying labels to these folder and filing them.
- Reviewing and revising lease agreements.
- Progress billing for construction contracts.
- Submit group benefit claims for management
- Create expense report for employees using Excel.
- Using Adobe Pro to complete forms
- Maintain electronic mail
- Running errands, doing bank deposits
- Ordering lunch
- Maintaining office equipment
- Loading and unloading of dishwasher
- Other duties as required and requested
