Administrative Assistant (Junior)
Overview of the Position: The Directorate Administrative Assistant will provide comprehensive daily administrative support to the Directorate, including the Director, Deputy Director, and component divisions. This role involves managing administrative records, scheduling, personnel management, and supporting Foreign Military Sales (FMS) case management and policy.

Responsibilities:

  • Provide daily administrative support including front desk reception services, scheduling, personnel management, and maintaining administrative records.
  • Manage directorate resources and respond to administrative and logistical support requests, including conference room bookings, teleconference lines, administrative products, and official correspondence.
  • Support the planning, scheduling, and administrative preparation for meetings, symposiums, conferences, and related engagements, including executive travel.
  • Support emerging DoN and DoD security cooperation, security assistance, and FMS operations and administrative requirements.
  • Process and distribute incoming and outgoing mail in coordination with the Administration division.
  • Process, track, and archive all official correspondence and manage external correspondence
  • Provide administrative support for FMS case correspondence and process FMS cases ready for offer to FMS partners in the Defense Security Assistance Management System (DSAMS).
  • Coordinate visitor support and access, and escort persons as required.

Skills and Abilities:

  • Proficiency in MS Office Suite.
  • Strong organizational and administrative skills.
  • Excellent written and oral communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong interpersonal skills for daily interaction with high-level officials.
  • Attention to detail and ability to maintain accurate records.

Required Qualifications:

  • High school diploma.
  • Experience working with officials in leadership positions is desired.
  • Relevant experience in administrative support, office management, or a related area.
  • Ability to work collaboratively with various stakeholders and maintain effective coordination with DoN and DoD offices.
  • SECRET security clearance
