Description:

The Administrative Assistant will provide critical administrative support to the director of Maintenance and the production managers. This role will be responsible for carrying out essential but routine tasks such as payroll processing, booking travel for maintenance staff, organizing and distributing memos, and coordinating HR activities. By handling these day-to-day administrative tasks, the administrative assistant will free up senior staff to focus on higher-level strategic, operational, and safety management initiatives.

SKILLS AND QUALIFICATIONS

  • High school diploma or equivalent.
  • A certificate, diploma or degree in Business Administration, or related field is an asset.
  • One (1) to three (3) years’ experience or an equivalent combination of related post-secondary education and experience is an asset.
  • Previous airline experience is an asset.
  • Must be professional, discrete and understand the importance of confidentiality.
  • Strong problem identification and objection resolution skills
  • Self-motivated, with high energy and an engaging level of enthusiasm
  • Able to perform basic calculations and mathematical figures.
  • Ability to work individually and as part of a team.
  • High level of integrity and work ethic
  • Maintain a professional appearance, demeanor, and attitude at all times.
  • Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment.
  • Strong attention to detail in all areas of work
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
  • Excellent computer skills, MS-Office preferable and proficient in use of internet and email
  • Able to work well under pressure and meet set deadlines.
  • The ability to communicate in Oji-Cree or Ojibway is an asset.

PHYSICAL REQUIREMENTS

  • Ability to lift or move up to 20lbs.
  • Manual dexterity is required to use desktop computers.

Responsibilities:

  • Verify and process payroll entries, ensure correct recording of hours, sick leaves, and personal days.
  • Arrange flights, accommodation, and transportation for maintenance staff traveling to out-of-city bases.
  • Draft and distribute internal communications, ensuring timely and effective communication across the department.
  • Track job postings, onboard new employees, follow up on HR matters, and coordinate the recruitment process, including reposting positions and managing resumes.
  • Assist with document revisions, filing, and maintenance of records related to safety management systems (SMS and quality assurance (QA).
  • Schedule and organize meetings for the Director and Production Managers, including preparing agendas and meeting materials.
  • Any other related duties as assigned.
