We are seeking a proactive and detail-oriented Administrative Assistant/Manager to join our team. This role requires strong organizational skills, excellent communication, and the ability to manage a variety of administrative and project-related tasks.
Position Summary:
The ideal candidate will handle a range of administrative responsibilities, including managing Indeed postings, creating and maintaining Standard Operating Procedures (SOPs), tracking key performance indicators (KPIs), and coordinating between contractors and clients. They will also assist with team communication, project management, and process improvement initiatives.

Key Responsibilities:

  • Administrative Tasks:
  • Serve as a key administrative support to the head of administration and leadership team.
  • Answer phone calls, make outbound calls, and coordinate communication between teams, contractors, and clients.
  • Maintain and update company documents, spreadsheets, and reports using Excel and other tools.
  • Recruitment & Hiring:
  • Post and manage job listings on Indeed and other platforms.
  • Screen resumes, coordinate interviews, and ensure smooth communication with candidates.
  • Process Improvement:
  • Develop, update, and implement SOPs to improve company operations.
  • Monitor KPIs and assist in tracking and analyzing performance metrics.
  • Project Management:
  • Assist in coordinating projects between contractors and clients, ensuring deadlines and deliverables are met.
  • Maintain clear communication between all parties involved in project execution.

Key Skills & Qualifications:

  • Technical Skills: Proficiency in managing Indeed, Excel spreadsheets, creating SOPs, and tracking KPIs.
  • Communication: Strong written and verbal communication skills, with full English fluency required.
  • Project Coordination: Experience managing and coordinating multiple projects, ensuring tasks are completed efficiently.
  • Organization: Ability to prioritize tasks, manage schedules, and maintain detailed records.
  • Adaptability: Self-starter capable of working independently and within a team in a fast-paced environment.
  • Tools Knowledge: Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and other productivity tools.
