ADMINISTRATIVE ASSISTANT

The successful candidate will provide support to the Regional Manager and Director of Operations, as well as office staff. The Administrative Assistant assumes a wide range of responsibilities including, but not limited to:

Support Regional Manager, Director of Operations and project teams with filing, faxing, assembling documents, tracking, travel arrangements, record keeping and minutes.
- Reception duties: Professionally answer all incoming calls; greet all visitors in a friendly and professional manner.
- Assist in preparation and assembly of Project Operations & Maintenance Manuals, pre-qualification response and proposal documents.
- Analyze and verify sub-trade/suppliers invoices for accuracy prior to processing the invoices for payment.
- Perform market research for the business development team.
- Maintain office and lunch room, maintain supplies as well as telephones, fax machine, printers and copiers.
- Distribute daily mail, receive and process all courier packages in a timely manner.
- Assist HR with the onboarding and orientation of new employees in the office.
- Assist with organizing health and safety training, tracking ticket validity of employees, etc.
This role will require:
- Minimum 5 years office experience or 3 years in the construction industry.
- Proficient in MS Office and Windows-based computer applications (Word, Excel, Outlook, etc.).
- Knowledge of WorkSafeBC and safety an asset
- Very detail oriented and ability to work and think independently and in a team.
- Excellent organizational and co-ordination skills with the ability to effectively manage time, priorities and multiple tasks.
- Valid driver’s license.
