We are looking for a Human Resources Administrative Assistant to undertake a variety of HR administrative duties. The HR assistant duties involve a wide range of support activities inside our HR department from welcoming guests and greeting guests such as candidates and employees who visit the business, conducting phone screens, and filing paperwork. An important part of your role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions. Individuals must have excellent customer service skills and be comfortable on computers.

QUALIFICATIONS:

  • 2-3 years of experience in Human Resources or related field, preferred
  • Experience using ADP Workforce Now to manage new hires, rehire, onboarding and employee benefits
  • Experience with iCIMS is a plus!
  • Excellent interpersonal skills, relating to employees and coworkers
  • Understands the importance of data protection and confidentiality
  • Must be able to adapt to ATS (ICIMS)
  • A diligent and astute learner with a remarkable ability to absorb and retain new information
  • Ability to work in a fast paced, high volume environment while remaining calm under pressure
  • Ability to handle competing priorities and proactive problem solver
  • Ability to identify and correct errors and inconsistencies
  • Ability to interact effectively with all levels of management
  • Proactive and able to take initiative and Meticulous attention to detail and multitask
  • Excellent communication skills, both verbal and written, and teamwork skills

Schedule:

  • 8 hours shifts
  • Overtime
  • Weekend availability

Responsibilities:

  • Greet and assist employees and walk-ins with their inquiries, as well as by phone and email
  • Provides administrative support to the department: scheduling, screening calls, copies, mail, setting up and maintaining various files, systems are updated, and reports. Communicate to the relevant parties within deadlines
  • Manage access to the lobby and sign in visitors
  • Answer multiple phone lines, screen and direct calls
  • Provide clerical support to the Employee Services (HR) department
  • Keep all paperwork in appropriate places, applying security measures to important documents, Electronic files maintenance (organize, convert and maintain physical files into e-files) Respond to request to access files and maintain logs as needed
  • Adhere to corporate policies to safeguard data while maintaining the confidentiality
  • Making 50-60 calls per day (if applicable)
  • Assisting with Onboarding and special projects as needed
  • Assist Director of Human Resources as assigned
  • Maintain a supply of current forms and documents related to HR, payroll, and benefits (e.g. employee handbook, benefit overview, I-9, W-4, etc.)
  • Receives, records, and distributes packages and mail when necessary
  • Work in Applicant Tracking System to support recruiting functions, track candidates, and retrieve data
  • Tracking issuance to existing personnel, collection of uniforms, and requests for uniform refunds
  • Active staff information, such as candidates photos, and employee ID’s, uniforms, name tag and badges.
  • Coordinates pre-employment functions, including initiating and tracking background checks, driving test and drug testing for new hires
  • Maintain employee files, ensuring that documents are stored and named correctly and always accessible and secured
  • Participate and recommend new approaches in developing department goals, objectives, policies, procedures, and systems
  • Work collaboratively with recruiting department on HR administrative tasks to achieve departmental goal
  • Perform other duties as assigned to support Human Resources needs
