Job Description: Administrative Assistant
Work Location: LONDON, ONTARIO, CANADA
Department: Supply chain
Reports to: Purchasing manager
starting salary: $42,000
Overview:
The Administrative Assistant helps coordinates supply chain activities associated with components, operations, supplies, and related service purchases required to produce doors. They also assist with scheduling, purchasing, shipping and logistics administration, helping to produce the necessary documentation to support finance. Additionally they are a key contributor to developing office communications.

Duties & Responsibilities:

  • Contributes to and fosters a safe work environment by upholding all safety rules and procedures, asking questions when unsure, and embracing our Target Zero philosophy.
  • Actively involved in full inventory counts.
  • Generates purchase orders for components.
  • Enters daily material replenishment as needed.
  • Processes stock orders and date production base on department capacity – communicate issues with operations.
  • Work with production and shipping to ensure all orders are scheduled for delivery in a timely manner.
  • Print appropriate reports to identify outstanding purchasing orders and pending status purchasing orders to avoid missed shipments.
  • Offers back up support for other buyers within the company guidelines and procedures.
  • Seeks new components, supplies, services, and vendors to support company and departmental objectives.
  • Evaluates supplier performance per company/compliance standards, policies, and procedures for corrective action, negotiation, and/or decision-making.
  • Creates and maintains communication slideshows monthly for the plant.
  • Assists with the coordination of plant engagement events.
  • Provides periodic backup support for other department personnel. Including Scheduling and Production; Quality; Shipping and Receiving.

Knowledge/Skills/Abilities:

  • Candidates with two years hands-on-experience in a strong customer service oriented environment.
  • Ability to interact and communicate effectively with individuals at all levels of the organization.
  • Must be willing to be cross trained in shipping clerk functions, and inbound scheduler functions.
  • Must command good reading, writing computational, analytical, and listening skills.
  • 2-3 years of experience required in Microsoft Office software.
  • Ability to take initiative and work independently, but also team oriented.
  • Must be adaptable to internal and external customer demands.
  • Strong attention to detail.
  • Experience in logistics; purchasing; and/or scheduling considered as asset.
  • Strong attention to detail and strong organizational skills required. Able to manage multiple projects simultaneously.

Qualifications

  • A High School Diploma or equivalent
  • A Certificate in Supply Chain Management or Business Administration considered an asset.
