Description:
Roska DBO is currently seeking an Administrative Assistant to cover a one-year maternity leave position in the Fort McMurray area. This is at the Albian site.
Reporting to the area Superintendent the Administrative Assistant will play a crucial role in supporting daily operations within our customers organization. They will manage schedules, coordinate meetings, handle communications and provide general admin support. This will be a Monday-Thursday position working from 6am to 4pm. Local candidates to Fort McMurray required.
Job Scope:
- Printing Work Orders from weekly frozen schedule in Maximo
- Send weekly feedback forms to area planner
- Enter STL/MTL weekly accountability into data spreadsheet
- Visitor/Vehicle Passes
- Create job ticket for EyeSafe prescription safety glasses
- Processing Expense Requests (ex: business expenses, boots)
- Setting up new hires/contingent workers in myrequests (provision & network access)
- Submit/manage all myrequests for furniture requests, cellphones, building maintenance, conference room issues etc. as Superintendents delegate
- Submit requests to office services for coffee supplies, vending/coffee machine issues, office supplies
- Host meetings as requested by Superintendent
- Share/distribute information from management
- Manage Superintendents Calendar (book meetings)
- Manage meeting/room bookings through Outlook in your area
- Manage Safety Point system in your Value Stream
- Safety Feud point system
- Monthly BP TV submissions
- Coverall requests
- Assign lockers/manage spreadsheet
- Any additional requests as per Superintendent/Lead
Qualifications:
- Minimum 3-5 years of oil and gas administration experience
- Post-Secondary education in Accounting and/or Business Administration preferred
- Must have intermediate computer skills including Microsoft Office (Excel, Power point, Word, Outlook), Adobe Acrobat, Nitro Pro
- Basic knowledge in the Oil and Gas industry & Land Survey Descriptions (LSD) is considered an asset
- High attention to detail
- Knowledge in PM Suite, Scada, PVR and Oplynx is considered an asset
- Excellent multitasking skills
- Be able to process information, follow instructions and complete tasks with minimal supervision
- Strong written and communication skills
- Excellent data entry and typing skills
- Willingness to learn new computer programs/software’s
- Ability to work in a fast paced environment and readily adapt to change.
- Proficient organizational skills & ability to prioritize
- Ability to take initiative
- Work under deadlines
