ESSENTIAL QUALIFICATIONS AND EDUCATION:
- Minimum 2 years in similar role within oil and gas industry
- Business Administration Certificate or equivalent experience
- Advanced knowledge of Microsoft Office suite
Responsibilities:
- Processing and distribution of all incoming client and vendor project correspondence
- Transmitting all outgoing project correspondence such as Transmittals and Minutes of Meetings
- Responsible for compiling contractual, financial and administrative documentation and ensuring Management sign / approve in a timely manner
- Attendance and minute taking at the weekly client commercial, internal Managers’ and technical meetings
- Manage the Weekly Reports for the project and ensure a timely submission
- Formatting documents to align with company’s document standards
- Arrange onshore travel bookings
- Coordinate project meetings, project alignment functions and team building
- Book, create marketing events / social events according to team requirements
- Manage Reception and delegate duties for the office accordingly (i.e stationary orders, milk orders, coffee machine maintenance, meeting room upkeep, etc)
- Create Material Requisitions (MRs) and Goods Receipt Notices (GRNs);
- Compile and verify expense reports to comply with company policy and issue to Accounts Payable
- Organise set-up requirements for new starters including IT equipment, software, inductions, desk allocation as per the onboarding procedure
- Point of contact for HSE issues / inspections, delegate and action outstanding items
- Book, manage and maintain meeting room and teleconference bookings
- Office meet & greet, assist with reception phone calls and reception coverage as required
- Assist with kitchen duties as required such as replenishing kitchen sundries (milk, teat, coffee supplies etc) and ensuring kitchen is neat and tidy
- Ad hoc duties for the Project as required
