Job Description
The Global Impact function is seeking a highly organized, dedicated and experienced administrative professional. This individual will provide executive-level administrative support to the Chief Diversity Officer and Sr. Director, Agency 123. This is an excellent opportunity to perform a wide variety of administrative activities in service of Global Impact’s vision of making McDonald’s Famous for its positive impact on People and Planet!
In addition to being a strong partner to the CDO and Sr. Director of Agency 123, this individual will provide general administrative support to the broader Diversity, Equity & Inclusion Center of Excellence and to the Agency 123 team (Global Communications).

QUALIFICATIONS

  • Organizational Skills: Ability to prioritize tasks, proactively manage calendars, coordinate meetings, and handle multiple projects simultaneously and effectively.
  • Communication Skills: Excellent verbal and written communication skills, able to interact with stakeholders who have competing needs in a way that ensures a positive experience.
  • Computer Proficiency: Intermediate to advanced-level experience with MS Office (Outlook, Word, Excel, PowerPoint) and WebEx, Teams, or similar meeting tools and understanding of Cvent, Workfront (or other project management tools).
  • Meeting Planning: Experience in Meetings & Events processes, McDonald’s Meeting Management policy knowledge and experience preferred. Ability to read and understand hotel/venue invoices
  • Attention to Detail: Ability to maintain accuracy, anticipate needs and complete large volumes of work efficiently and effectively.
  • Time Management: Efficient in managing deadlines, scheduling appointments, and ensuring tasks are completed on time.
  • Problem-Solving Abilities: Solution oriented with the capability to identify issues, propose solutions, and implement them with minimal supervision.
  • Adaptability: Able to prioritize, learn quickly, work well under pressure and adapt to changing priorities within an evolving business and work environment.
  • Confidentiality: Demonstrate discretion and have the ability to handle and maintain confidential information
  • Integrity: Take personal responsibility for meeting commitments and ensuring results are achieved efficiently
  • Team Player: Work collaboratively with a positive and supportive style and contribute positively to team goals. Work across Global Impact admin team in ways that align with McDonald’s core values and supports success of the overall function.

Responsibilities:

  • Proactive meeting scheduling, calendar management and meeting coordination.
  • Travel arrangements and logistics, including itinerary building, securing travel visas, and expense processing.
  • Coding & submitting invoices, expense reports along with Beeline submissions for approvals and payment. Includes proactive tracking and resolution for payment.
  • DocuSign management.
  • Backup to project & meetings workflow administrator into project management tools (Workfront & Cvent).
  • Review events registered in Cvent to ensure data and accounting accuracy and correct as needed.
  • Initiate, organize, and facilitate special and ongoing projects.
  • Work collaboratively with team members to track and relay key dates, deadlines and employee milestones.
  • Additional responsibilities as needed.
