ADMINISTRATIVE AND FINANCIAL KNOWLEDGE

  • You have demonstrated knowledge of administrative practices, policies, procedures and guidelines (including RIM).
  • You know the processes and protocols of an executive office relating to correspondence format, procedures, approvals and information flow.
  • You have knowledge of financial accounting, record-keeping, reporting, contract management and budgetary control.
  • You can provide instruction and advice to the director and branch staff on various administrative and financial functions.

ANALYTICAL, PROBLEM-SOLVING AND RESEARCH SKILLS

  • You have demonstrated analytical skills to review budgets and transfer payments and to conduct financial analysis.
  • You are comfortable working with data to identify and analyze trends.
  • You can apply problem-solving skills to investigate and resolve transfer payment issues.
  • You can interpret and apply policies and procedures (e.g. Broader Public Sector Expenses Directive and Broader Public Sector Procurement Directives).

COMMUNICATION SKILLS

  • You communicate clearly and concisely to provide information on transfer payment administration and to collaborate with staff and stakeholders.
  • You can prepare correspondence, briefing materials and written responses to inquiries.

COMPUTER SKILLS

  • You are familiar with electronic calendars and correspondence information systems to maintain meeting schedules and to track correspondence and other briefing materials.
  • You can design and create reports, presentations and spreadsheets.

Responsibilities:

You will be:

  • coordinate financial and administrative functions relating to the financial monitoring of six provincial benefits trusts, including multi-million dollar transfer payment agreements (TPAs)
  • manage the flow of information and correspondence for the branch, ensuring deadlines are met and administrative procedures are followed
  • act as the primary branch contact for TPAs
  • manage the director’s calendar/schedule and provide support for meetings (e.g. taking minutes, preparing agendas and other material)
  • maintain and update the budget and coordinate all procurement for the branch
  • contribute to special projects and assignments (e.g. developing records management procedures)
