Required Qualifications and Experience:
- A post-secondary certificate in business administration or administrative assistant, or an equivalent combination of education and experience.
- A minimum of 2-years administrative assistant and/or customer service work experience.
- Strong communication and interpersonal skills with the ability to build harmonious working relationships with superiors, co-workers, clients, and the public.
- Keen attention to detail.
- Strong customer services skills and conflict resolution skills.
- Strong organizational and multi-tasking skills.
- Ability to work independently with minimal supervision and to function effectively as a team member.
- Ability to perform diverse clerical and administrative tasks efficiently and with accuracy.
- Strong grammar and writing skills and experience preparing accurate, error-free documents.
- Ability to meet strict deadlines in a busy environment with frequent interruptions.
- Strong skills in the use of Microsoft Office Suite.
- 40 wpm keyboarding.
- Experience using MS Teams and Zoom online meeting platforms
Preferred Qualifications and Experience:
- Experience working as an administrative support person in a post-secondary and adult education environment
Responsibilities:
- First point of contact providing front-desk customer service reception. Greeting guests and directing them appropriately.
- Collaborate on referrals to other programs within the Portage Learning and Literacy Centre.
- Booking appointments for program intake and student support as needed.
- Responsible for ordering office supplies and coordinates with staff accordingly; ensures accuracy and proper financial approvals; provides support with print/marketing on occasion.
- Accurately processes incoming and outgoing mail (interoffice and Canada Post/Purolator/courier).
- Performs routine office management responsibilities as required; assists in maintaining a tidy, efficient, and productive office.
- Maintains office equipment in working condition and arranges for repairs or services if required.
- Provides various project support to all MITT ALC and Literacy Team members.
- Assist in supporting and mentoring practicum students.
- Handles sensitive issues; assures confidentiality by exercising discretion in communicating information to faculty, students, staff and the public; handles administrative records and files, personnel actions/decisions, performance evaluations, grades, and other confidential items with sensitivity and tact.
- Assist in data entry of student records and statistical reports.
- Other duties as assigned.
