Job Summary
The Administrative Assistant is accountable for the provision of an administrative support system to both Head Office and regional offices including the coordination of priority actions, correspondence control, inter-departmental liaison, and the provision of advice, intelligence, and interpretations.

In this role you will:

  • Ensure the smooth flow of information and that action items or issues are dealt with as per established deadlines. Prioritize and delegate urgent issues to appropriate Manager(s).
  • Be responsible for general administrative services and office management within the business unit.
  • Be responsible for producing and managing sensitive material for management teams within the business unit.
  • Collaborate with and act as back-up to other administrative assistants within the team.
  • Identify opportunities to streamline services and processes.
  • Manage the schedules of senior leaders, including travel arrangements, and responding to their direction.
  • Responsible for the planning and coordination of meeting logistics and providing support during special events, as required.
  • Daily communication with internal and external contacts, typically at the senior management level and within the respective management team.
  • Act as a point of direct contact with external stakeholders, the incumbent has an active role in the fostering/promoting of the NAV CANADA brand.

What you bring:

  • Community College Diploma or Undergraduate Degree in administration or related field. In lieu of the diploma/degree, a combination of relevant administrative and/or experience is acceptable.
  • Minimum 5 years experience and knowledge working as an administrative assistant in an office environment and supporting senior level management responsibilities.
  • Experience in taking minutes and capturing action items, as well as drafting/preparing quality correspondence and presentation materials considered an asset.
  • Advanced knowledge of MS Office Suite, and Teams. Experience working with Workday an asset.

Working Conditions:

  • This position is Hybrid and is eligible for a flexible work arrangement (minimum 3 days onsite). This position is based out of our Head Office location, however the successful candidate may be asked to travel between our sites in the NCR, as required.
