We are looking for a highly organized, team-oriented, and dynamic Administrative Assistant for our Neuroscience businesses. Reporting to the Iberia Neuromodulation leader, you will support all administrative and operational tasks for the Portugal Neuroscience businesses and their leaders. You will be in charge of prioritizing emails and calls, setting meeting and preparing all the documents, coordinating travel, managing calendars, and ensuring timely information flow. You will act as the contact point among executives, employees, clients, and external partners, and handle business operations tasks.

REQUIRED KNOWLEDGE AND EXPERIENCE:

  • Minimum High School degree business or equivalent
  • Experience in a similar position
  • Strong computer skills (Word, Excel, PowerPoint, Outlook, SAP)
  • Perfectly fluent in English and Portuguese
  • Commitment and accountability, detail oriented, positive attitude
  • Proven track record to manage multiple tasks and react adequately to changing priorities and last-minute changes
  • Passionate and interested in learning and developing new skills

DESIRED KNOWLEDGE AND EXPERIENCE:

  • Knowledge of eCATS, ONIT, Cvent and/or Vendavo
  • Spanish will be appreciated
  • Experience as a personal assistant or event manager
  • Experience in contract management

PHYSICAL JOB REQUIREMENTS

Responsibilities:

  • Support Neurosciences team with the documentation and offers submission, help with the new team members onboarding, congress preparation and organization.
  • Manage the Vendavo platform to manage Operating Units prices
  • Organise the customer-related events (meetings, trainings, boards, etc.) using ONIT/eCats.
  • Record the Healthcare professional (HCP) activities in the Legal & Compliance tool (eCATS) (contracts set-up, event creation, payment, etc).
  • Be the point of contact with Legal and Compliance department and the Event Learning Management team.
  • Organise the internal/external meetings and trainings, manage the on-site logistics, if needed, and the organization of video o teleconferences.
  • Manage the finance support with the purchase Requests/Orders creation, monthly accruals, recharges.
  • Follow-up of the payment and the troubleshooting, the budget tracking and the vendor profile maintenance.
