Responsibilities:
NV5 is seeking a full-time Administrative Assistant in our Cary, NC office.The Administrative Assistant will provide coverage across all groups as needed, supporting administrative duties to help meet deadlines and objectives efficiently. This role is essential in building efficiency and effective responsiveness into existing operations.

Qualifications:

  • High School Diploma or equivalent required, knowledge of administrative office practices and procedures, Associates degree preferred.
  • 2-3 years of relevant administrative support experience.
  • Previous experience in a professional office setting, experience in an Engineering firm a plus.
  • Proficiency in Microsoft Office Suite.
  • Ability to communicate effectively and positively with co-workers/managers, must have a can-do attitude.
  • Excellent written and oral communication skills, planning and organization skills, and attention to detail.
  • Ability to learn and use additional software programs required to handle assigned tasks.
  • Demonstrate sound judgment, comprehensive decision making and problem-solving skills.
  • Ability to work independently and multi-tasking

Responsibilities:

General Administrative Support:

  • Perform archiving, binding, and organizing tasks.
  • Type, proofread, and edit letters.
  • Update and create spreadsheets.
  • Handle mailing, copying, faxing, filing, and invoicing.
  • Order and maintain office supplies.

Data Entry and Reporting:

  • Enter client and project-related information, expense reports, and labor adjustments/timesheets into the Deltek Vantagepoint (Prior experience is a plus).

Billing Assistance:

  • Provide necessary information to project managers.
  • Compile and organize information to streamline the billing process.

Office Coordination:

  • Coordinate building and equipment maintenance.
  • Run errands as needed.
  • Manage conference room schedules.
  • Ensure office organization and cleanliness.

Document Handling:

  • Print and scan small and large documents.
  • Perform quality assurance/quality control (QA/QC) of documents.

Reception Duties:

  • Answer multi-line phones.
  • Cover the front lobby, greeting clients and visitors with a positive attitude.
