POSITION SUMMARY:

We have an exciting opportunity to join our team as an Administrative Assistant. In this role, the successful candidate is responsible for providing administrative support to the Chief Clinical Officer of Perlmutter Cancer Center (PCC) and Director of Division of Hematology and Medical Oncology. Will coordinate various projects and activities while managing administrative operations.

MINIMUM QUALIFICATIONS:

To qualify you must have an Associate’s degree in a related field. Minimum of three years of related experience in an administrative support role or the equivalent combination of education and experience. Proficient in the use of Microsoft Office Word, Excel, and Access. Ability to develop moderately sophisticated spreadsheets; set up routine computer procedures; resolve simple software/hardware problems. Ability to access e-mail, electronic calendars, and other basic office support software. Effective oral, written, communication, interpersonal and customer service skills. Ability to proofread documents and write clear, concise first draft. Ability to type at a speed of at least 50 net words per minute. Ability to multi-task while paying attention to detail. Ability to exercise administrative judgment and assumes responsibility for decisions, consequences, and results.

PREFERRED QUALIFICATIONS:

Bachelor’s Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required. Previous experience administering office operations in a healthcare setting preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $51,243.96 - $72,610.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.

Responsibilities:

  • Performs other duties as assigned.
  • Manage day-to-day administrative operations for Chief Clinical Officer of PCC and Division Director.
  • Makes complex scheduling arrangements involving multiple parties under minimal direction.
  • Maintains schedules/calendars, screens and handles telephone communications; evaluates incoming and outgoing correspondence and prepares responses as appropriate. Organizes and facilitates meetings, conferences, and other special events, as required, including identifying needed resources and arranging for required support (i.e. Technical, A/V, etc) for meetings and events.
  • Supports and coordinates projects, meetings and special events related to the Division.
  • Continually analyzes operating practices & procedures to create new and/or revised methods.
  • Uses judgment and discretion to compile, verify, interpret & analyze reports and make recommendations based on subject matter knowledge
  • Develops and distributes records, minutes, documents and agendas.
  • Manage relationship with Physicians and Cancer Center Leadership.
  • Implement new methods and procedures to ensure accuracy and efficiency.
  • Provides back-up support for administrative assistants within the admin pool, as needed.
  • Manage the scheduling and coordinating of the early/late doc schedule and DOC of the day for the division along with schedules, as assigned and needed by Cancer Center Leadership and the Division.
