Job Description:
Exciting Opportunity at MSK: We are looking for an Administrative Assistant to join our team to provide administrative and operational support to the Office of Scientific Research Management (OSRM) project coordinator team.

KEY QUALIFICATIONS:

  • High school degree and 4+ years of administrative work experience or a bachelor’s degree and 2-4 years of administrative work experience, experience in a healthcare environment preferred
  • The ability to work proactively & independently and follow through on projects
  • Excellent Microsoft Office software skills (Word, Excel, PowerPoint, Outlook) Experience with both PC and Mac software strong preferred & familiarity with FileMaker database is a plus
  • Outstanding communication & interpersonal skills

Responsibilities:

  • Under general supervision, perform administrative tasks in support of SKI & HOPP program activities including directing calls, scheduling meetings, updating calendars and answering email inquiries in a timely manner, ordering office supplies, updating departmental website and documentation, and greeting/escorting visitors.
  • Manage the calendar for department seminars and events and assist with planning and coordinating seminars, receptions, and events.
  • Coordinate and prepare documents, including fliers and agendas for visiting speakers, proofreading, and editing text for accuracy.
  • Prepare travel, financial, and HR-related paperwork, and inputting and tracking information in FileMaker databases.
  • Arrange for appropriate meeting space and set up given meeting/seminar requirements (e.g., food ordering, technology devices, etc.).
  • Prepare & proofread documents including memos, reports, presentations, and manuals as requested.
