Description:

QUALIFICATIONS:

  • 5 GCSEs (A-C) including English and Maths or equivalent (QCF Level 2)
  • RSA Stage 2, CLAIT, ECDL, or equivalent

KNOWLEDGE AND EXPERIENCE:

  • Proficiency in standard office software including Word, Excel, and spreadsheets
  • Substantial administrative experience in an office environment
  • Familiarity with Data Protection Act, GDPR, and Welsh Community Care and Information System (WCCIS)
  • Previous experience providing senior management support and taking minutes at meetings
  • Experience in a Local Government or Social Services environment is highly desirable

Responsibilities:

ABOUT THE ROLE

As an Administrative Assistant, youll play a key role in providing efficient and effective administrative support to the team and the Head of Service. Your responsibilities will range from maintaining diaries and preparing meetings to processing information and ensuring compliance with GDPR. This is an ideal opportunity for someone looking to enhance their skills in a fast-paced and collaborative environment.

KEY RESPONSIBILITIES

  • General Administration: Collate and process information, ensuring all systems and records are up to date and accurate.
  • Support to Head of Service: Assist with diary management, meeting preparation, and act as the first point of contact for enquiries.
  • Team Support: Assist with daily problem solving, new employee inductions, and support for staff and management.
  • IT Systems: Help develop and test IT systems such as WCCIS, Digital Services, and the Social Service website and intranet.
  • Data Handling: Liaise with internal and external agencies, ensuring GDPR compliance when handling service user information.
  • Meeting Support: Arrange and facilitate multi-agency and team meetings, take minutes, and distribute them within required timescales.
  • Procurement and Financial Management: Process orders for goods/services, monitor petty cash payments, and ensure documentation complies with financial procedures.
  • Office Management: Ensure adequate supplies of stationery and equipment, and safeguard IT equipment and data security.
