Description:

ADMINISTRATIVE ASSISTANT

Responsible for performing and supporting a variety of administrative and clerical duties within the Administration Department. Ensure that all administrative tasks are completed accurately and in a timely manner.

EDUCATION/EXPERIENCE REQUIRED:

  • High school diploma or equivalent required. Associates Degree in business or health administration or related field preferred or equivalent experience.
  • At least two years’ experience in an administrative or healthcare setting preferred.
  • Microsoft Office proficiency and other relevant software.
  • Valid CA Driver License

Preferred

  • Must be able to type 50 wpm.
  • EPIC experience a plus, but not required.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work effectively with all staff.

Responsibilities:

ESSENTIAL FUNCTIONS:

  • Greet and assist visitors, answer phone calls, and respond to emails.
  • Schedule appointments, arrange meetings, and maintain calendars as assigned.
  • Mail receipt, sort and distribution working with Facilities Department to ensure timely management of all incoming/outgoing mail.
  • Work with Facilities Department staff to ensure all office machines are kept in good condition.
  • Assist in event planning as assigned.
  • Manage inventory, ordering and stocking supplies, equipment, and other materials as needed.
  • Provide administrative support for special projects, committees, and other initiatives as needed.
  • Monitor conference room bookings ensuring that rooms are readied for each user.
  • Monitor and organize open space in Administration common areas and staff rooms.

ADDITIONAL DUTIES

  • Backup to other assistants as needed.
  • Work with Facilities Department to keep the front reception and kitchen stocked with supplies and organized.Other duties as assigned.
