Responsibilities:

Reporting to the Senior Vice President, Commercialization, supporting the Sales team and working as part of a cross-functional team, the Administrative Assistant – Sales Support will provide unparalleled administrative support to the Senior Vice President, Commercialization and the Sales Team. The Administrative Assistant – Sales Support will provide essential administrative support to the Senior Vice President, Commercialization and manage a variety of value add administrative and strategic tasks for the teams. The Administrative Assistant – Sales Support is exceptionally adept with technology and is always one step ahead by consistently anticipating and pre-emptively acting on needs.

This includes:

  • Providing exceptional administrative support to the Senior Vice President, Commercialization and the Sales team.
  • Assisting the sales executives with daily administrative duties and tasks that include managing an active calendar of appointments and projects
  • Support executive communications, including drafting letters, emails, memos, internal and external communications, PowerPoint presentations, other materials, collecting and analyzing data, and proofreading all work to ensure accuracy and brand conformity
  • Develop high-impact, branded PowerPoint presentations that effectively communicate key messages and engage stakeholders.
  • Create and maintain clear, informative tables and graphs in Excel to present data effectively
  • Analyze data trends and insights through visual representations, ensuring clarity and usability for decision-making.
  • Interpret data sets using Excel, transforming data into actionable insights.
  • Collaborate with team members to ensure consistency in branding and presentation style
  • Coordinate the logistics of meetings for the Senior Vice President Commercialization and other Sales team members as required, to include creating the agenda and required documentation, creating meeting minutes and action item lists, and following up on assigned action items
  • Coordinate logistics for meetings and events, including venue booking, catering, and materials preparation
  • Participate as member of the sales team including assisting with the coordination and scheduling of strategic activities, attending meetings, and recording minutes as assigned
  • Provide technical assistance including, but not limited to making the setup and execution of conference calls and presentations; downloading reading materials onto appropriate technology prior to executive travel; suggest improvements, and implement changes where appropriate
  • Working onsite when required and providing day to day support to the Orpyx Sales team and any related subsidiaries teams
  • Supporting all onsite events as required
  • Building PowerPoints and other meeting materials according to brand guidelines
  • Analyzing sales and other related data using Excel
  • Maintain the commercial team file structure on SharePoint and other platforms
  • Liaising with the sales team on behalf of the executives
  • Coordinating materials for strategic commercialization processes
  • Act as the key point of contact for coordinating and organizing attendance and travel for conferences and events
  • Provide technical assistance including, but not limited to making the setup and execution of conference calls and presentations, prepping reading material for events, suggest improvements, and implement changes where appropriate
  • Organize and coordinate executive outreach and external relations efforts, planning and coordinating events as necessary
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion
  • Assist in coordinating sales meetings, conferences, and events, including logistics and materials preparation
  • Assist in tracking and analyzing sales targets, campaign performance metrics and prepare reports for management
  • Supports the commercial team with expense reconciliation as required
  • Maintain CRM (customer relationship management) platform data on behalf of the commercial team
  • Maintain a high level of accuracy and attention to detail in all deliverables, ensuring they meet the standards expected at the executive level
  • Maintain a clean, and safe working environmentPerform duties in a manner that is consistent with and committed to upholding the requirements of the quality management system

  • Additionally, due to the ever-changing and sometimes chaotic environment of an early-stage high-tech company, the Administrative Assistant – Sales Support may assume additional responsibilities, as required.
