Description:
OPERATIONS ADMINISTRATIVE ASSISTANT
The Operations Administrative Assistant at Oxford Commons Hospitality Company provides administrative support to Oxford Commons operations and leadership teams and provides reception assistance to Oxford Exchange.
This role is responsible for managing the day-to-day activities of the teams they support, while also handling a variety of administrative tasks related to the overall operation of the company. Strong organizational skills, attention to detail, and the ability to multitask and prioritize effectively in a fast-paced and dynamic environment are essential. Excellent communication skills and the ability to build and maintain relationships with the operations and leadership team are also crucial.
Responsibilities:
Calendar Management: Schedule meetings, appointments, and events. This includes coordinating with internal and external stakeholders and managing travel arrangements and accommodations.
Reception Assistance: Responsible for greeting visitors, managing incoming calls, and handling general inquiries to ensure a welcoming and efficient front desk operation.
Communication: Manage and prioritize emails, phone calls, and other correspondence on behalf of the executives. This includes drafting and proofreading documents, preparing reports, and responding to inquiries from clients, vendors, and other stakeholders.
Project Coordination: Support the team with project management tasks such as tracking deadlines, coordinating team members and assisting with project and meeting materials and resources.
Administrative Support: Provide general administrative support, such as managing expense reports, processing invoices, and maintaining office supplies.
Relationship Building: Build and maintain relationships with internal and external stakeholders, including clients, vendors, and partners.

Physical Requirements:
- Must have sufficient mobility to perform assigned tasks, including reaching, bending, stooping, wiping, pushing, and pulling for extended periods.
- Must have the ability to lift, push, and pull approximately 25 lbs.
- Must be able to stand and/or walk for up to 10 hours during a single shift, while possibly navigating ramps, stairs, and elevators.
- This employee will also view a computer monitor and type/write on a regular basis.
