Availability required (open to close): Monday to Sunday.
The candidate must have availability to work on weekends.

  • Excellent telephone, interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • Background in the performing arts (theatre), design, and media creation, and business social media management is an asset.
  • Background in sales is an asset
  • Excellent organizational and time management skills
  • Ability to use good judgement in assessing difficult situation
  • Experience with Accuro EMR or other EMR is an asset

Responsibilities:

THE ROLE

The Administrative Assistant is an outgoing patient liaison who will be responsible for the day to day operation of the Painless Medicine and Therapeutics Clinic providing excellent service.

DUTIES AND RESPONSIBILITIES

  • Perform reception functions, greets and screens visitors/patients coming into the office
  • Answer and screen telephone calls, take messages and direct accordingly
  • Educate patients on the treatments available at Painless Medicine and Therapeutics
  • Liaise with the referring physician offices to arrange for new patient appointments and follow-up with required documentation for referral
  • Book appointments, tests and procedures for patients
  • Advise patient for test preparation, date, time and location of test/procedures
  • Update appointment schedules for assigned personnel, cancels and/or reschedule appointment as instructed
  • Maintain filing systems, retrieve files, and other documentation as required by both electronic and manual filing systems
  • Receives mail and arrange for courier services as needed
  • Photocopy or scan into computer database correspondence, memorandum, patient date forms as necessary
  • Ensure office equipment is operation and co-ordinates preventative and corrective maintenance/repair schedules
  • Process private treatment and insurance payments
  • Other duties as assigned
