Description:

Parlee McLaws LLP is a regional law firm with Alberta roots extending back more than 135 years. We are looking for an experienced Administrative Assistant to join our team. This role is located at our downtown Edmonton office.
The successful candidate is a self-starter with high attention to detail, a sense of urgency, excellent organizational skills, and the ability to learn quickly in a busy work environment. Experience within a law firm or professional services is preferred.
The hours of work are Monday to Friday, 8:00AM – 4:30PM (37.5 hours/week) and this role requires daily in-office presence.

You will deliver on:

  • Coordination and management of emails and phone calls for the lawyer(s) while providing effective client service
  • Calendar management including coordinating, scheduling, and arranging for remote connection of meetings
  • Drafting of correspondence and delivery of same as required
  • Accurate dictation transcription
  • File organization and management including, but not limited to, file openings, conflict search requests, and accurate retention of both physical and digital copies
  • Timely preparation of accounts and time entry
  • Other tasks as required

You possess:

  • Minimum five (5) years of experience as an administrative assistant in a professional services environment; law firm experience preferred
  • Post-secondary education from a recognized administrative program (equivalent experience may be considered)
  • Intermediate to advanced proficiency with Microsoft Office Suite along with other software such as Worldox, Remindex, SpeechExec, Elite 3E or similar programs
  • Accurate dictation transcription
  • Understanding of basic accounting principles
  • Speak, read, and write English fluently with highly developed spelling and grammar (additional languages are an asset)
  • Excellent organization and time management with the ability to prioritize work and meet deadlines
  • High attention to detail and production of accurate, high-quality work
  • Effective and efficient collaboration and communication independently or on a team
  • Strong client service and relationship building skills with advanced interpersonal, written, and verbal communication skills
  • Problem-solving skills with a pro-active mindset
  • Highly reliable with ability to handle confidential information professionally and with integrity
  • A curious mind with the ability to learn quickly, retain knowledge, and effectively apply the learning
  • Respect for others and value for their contributions
