Administrative Assistant - Part time, National Vocational Services (Home-based Remote)

As an Administrative Assistant within our National Vocational Services Team, you are part of a team of working diligently to provide consistency of service while meeting the scheduling requirements of our patients and care providers. You ensure a favourable impression of CBI Health with pleasant, cooperative and knowledgeable administrative service to our clients. This position is best suited to someone who is driven to help others in a compassionate and caring way while balancing the pressures to deliver on scheduling requirements.

Responsibilities:
- You’ll provide friendly and knowledgeable customer service to our clients
- You’ll maintain client files and information in a confidential and secure manner
- You’ll coordinate referrals and assist with discharging files where appropriate
- You’ll achieve scheduling and billing efficiencies while delivering on administrative requirements
- Manage daily schedule to minimize cancelled appointments and vacancies. Books appointments either by telephone or in person. Calling to re-schedule any missed appointments
- Respond in a timely manner to customers and explain CBI Health vocational services to clients, funders, and employers
- Working with the National Vocational Services team to foster and develop new business and maintain strong relationships with our current business contacts
- Preparing, organizing and maintaining client files for appointments as necessary
- Coordinates the flow of letters: updates and copies documents for files
- Ensures referral to admission cycle times are within acceptable parameters
- May be required to supervise and train other support staff under the direction of the Administrator or Vocational Manager
- Provides information as required to WCB, insurers, CBI, region and corporate groups
- Reports directly to the Administrator unless specified by the Vocational Manager
