QUALIFICATIONS

  • High school diploma.
  • Postsecondary degree or diploma or certificate in office administration program considered an asset.
  • Five years of progressive experience in an administrative assistant role.
  • Eligible for Federal Government security clearance.
  • Professional and service-oriented approach internally and externally with strong communication skills.
  • Self-management skills to plan, organize, and prioritize and delegate tasks with conflicting deadlines in a fast-paced environment.
  • Ability to act with discretion when handling confidential and privileged information.
  • Ability to develop and maintain effective stakeholder relationships.
  • Advanced skills in editing, creating, and proofreading documents.
  • Advanced skills of Microsoft Office Suite (Word, PowerPoint, OneNote, and Outlook) including the ability to create, edit, and format documents/presentations.

Responsibilities:

  • Supports day-to-day operations by performing administrative tasks for manager, department, or team, including correspondence management, and greeting of all visitors.
  • Provides email and calendar management for assigned leadership, using Outlook.
  • Plans and organizes meetings and events, including arranging for catering, booking locations, and distributing materials and information.
  • Arranges travel, hotel and car reservations, and prepares travel itineraries.
  • Develops and maintains templates for forms, letters, tracking spreadsheets, and meeting minutes.
  • Manages department filing, user contact lists for proprietary software, internal contact and organizational lists.
  • Issues subcontract revisions, subcontractor submittal requests and prepares professionally edited monthly reports as needed.
  • Provides accurate Word, Excel and PowerPoint support by composing and/or editing a variety of documents.
  • Orders office supplies, distributes mail and manages courier requests.
  • Acts as reception backup as needed, answers calls and greets visitors.
