Description:
ARE YOU THE NEXT ADMINISTRATIVE ASSISTANT?
- High School Diploma with 2 or more years of experience in an administrative or clerical role. Bachelor’s degree preferred.
- Proficiency in Microsoft Office and can easily learn database systems.
- Must have excellent written and oral communication skills in English.
- Highly preferred refugee experience and EOS process.

WHAT WILL YOU BE DOING IN YOUR ROLE?
- Provide quality support to the Director and department.
- Maintain the priorities of the Director of Refugee Services.
- Schedule meetings that reflect the director’s priorities, communicate to Senior Leadership and other Directors on behalf of the program.
- Be the ‘gatekeeper’ to the director’s time including communicating with outside stakeholders, managing the directors email communication, and prioritizing deadlines.
- Provide additional directors support which will include some department approvals, timesheets, P-card reconciliation, periodic research, and other tasks as assigned.
- Facilitate office functions by keeping files organized, submit transactions reports, and prepare for regular meetings.
- Be a part of all management team meetings (L10s & QPs), taking notes, creating “to dos”, and follow ups.
- Plan for all department wide meetings and functions.
- Communicate clearly and effectively with the director and program team.
- Complete tasks with a high degree of attention to detail and sense of urgency.
- Develop processes in order to stay on time with your responsibilities.
- Continuously be two steps ahead on the director’s schedules to look out for conflicts.
- Be helpful and reliable when large events and/or projects need your help.
- Maintain a professional behavior at all times and recognize you reflect the director and program, especially when greeting guests, committee members, and communicating on behalf of the director.
- Be trusted to keep sensitive information confidential and be a reliable communicator for sensitive information.
