Description:

JOB SUMMARY:

The Administrative Assistant will oversee all receptionist and secretarial duties at our main entrance desk, providing our clients with outstanding customer service and support. As the ?face? of our company, the successful candidate will be presentable and friendly, with outstanding people skills.

EDUCATION AND EXPERIENCE:

  • High school diploma or GED
  • Previous medical office, customer service, clerical, some medical knowledge preferred.

PHYSICAL REQUIREMENTS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds.
    Wage/Salary: $20 - $22/hou

Responsibilities:

  • Opening and closing of the suite and continuous sanitization throughout the day
  • Operate telephone system to answer, screen, and forward calls, providing information, taking messages and scheduling appointments with patients and monitors
  • Schedule and follow up on ride share programs with patients (I.E. Uber, Lyft, Medical Motor Services)
  • Greet individuals entering the suite, check out patients leaving the suite.
  • Utilize site?s Clinical Conductor computer program to schedule visits, arrive and complete patients, set up studies, ensure study metrics are balanced, ensure patient ID cards are scanned, update patient information (including screening numbers, medications, conditions and contact information) and notes.
  • Ensure all no-show patients are followed up
  • Prepare charts for patient visits and create patient labels
  • Maintain site patient files
  • Track and distribute stipends
  • Meter mail and deliver to USPS bin
  • Type and fax doctor letters ? including unblinding PCP and patient letters
  • Maintain site calendars
  • Inventory and order site supplies
  • Create and distribute swag bags to exam rooms
  • Check all printers and fax machines for paper, and stock accordingly
  • Aid Study Coordinators in source document creation, memos to file, study binder set up, inclusion/exclusion source set up and provide administrative support as needed
  • Aid all staff in Microsoft word projects, scanning in documents, etc. as needed.
  • Performs other specialized duties as assigned by their manager and business needs
