GENERAL DESCRIPTION
The Administrative Sales Clerk is the first point of contact for the office; processes hot mix asphalt and aggregate weight tickets, as well as provides administrative support across the organization. This person will also handle the flow of visitors and phone calls through the office and ensure that all responsibilities are completed accurately and delivered with high quality and in a timely manner.
Key Duties
- Process weight tickets on a daily basis
- Serve visitors by greeting, welcoming, directing, and announcing them appropriately
- Answer, screen, and forward any incoming phone calls while providing helpful information to callers when needed
- Provide excellent customer service
- Collect daily aggregate tickets from drivers and sort in order
- Receive, sort, and distribute daily mail/deliveries/courier bags
- Collaborate with courier service when issues arise, or changes need to be made to regular delivery schedules
- Update material orders daily and work with truck coordinator for plant needs
- Escalate issues to the management team
- Process outgoing mail and packages
- Maintain security by following procedures and controlling access
- Order supplies as needed for location
- Perform additional clerical duties including but not limited to: filing, photocopying, faxing, laminating, maintenance of funds for postage machine and postage services
- Additional duties assigned as needed
QUALIFICATIONS
- Previous experience in similar roles
- Proficient with Microsoft Office – Excel, Word, PowerPoint, & Outlook
- Strong written and verbal communication skills
- Must be well organized and detail oriented
- Must be able to deal with public in a professional manner
- Proficient math skills are required
- High school diploma or GED is required
Physical Demands The following physical demands are representative of those that must be met to successfully perform the essential functions of this job:
- Periodic physical effort, including sitting and standing, is required during a regular work day of at least eight hours per day. Employee must be able to periodically stand and sit for extended periods of time, and to stoop, bend, and crouch as required to perform Key Duties.
- Lifting and transporting of moderately heavy objects up to 25 lbs.
Work Environment The work environment characteristics described below are representative of those that will be encounters while performing the essential functions of this job.
- Work is performed predominately indoors, although periodic visits to the asphalt manufacturing facilities may be required.
- Noise level in the office work environment is normal.
