Job Description

We are seeking a detail-oriented and efficient Administrative Assistant to join our team in Delta, Canada. As an integral part of our organization, you will provide crucial support to ensure smooth office operations and excellent customer service.

  • Manage daily communications, including answering phone calls, responding to emails, and greeting visitors
  • Process and organize important documents, such as client reports and certificates
  • Coordinate accounts payable and shipping of analytical samples
  • Maintain office supplies and organize marketing materials for events and trade shows
  • Assist with employee onboarding, including coordinating orientations and managing staff schedules
  • Provide administrative support for laboratory operations, including registering client jobs and processing reports
  • Prepare and distribute weekly key performance indicator (KPI) updates for client jobs
  • Coordinate registrations for workshops and follow up as needed
  • Work with other administrative assistants, providing training and guidance
  • Assist in planning client visits, executive meetings, and employee events
  • Maintain the site organizational chart and update it regularly
  • Perform other administrative duties as assigned by the supervisor

QUALIFICATIONS

  • High school diploma or GED required; Associate Degree in Office Procedures preferred
  • Minimum of two years of experience in administrative support; three years of office clerical experience preferred
  • Proficiency in Microsoft Office Suite, particularly Word and Excel
  • Experience with Oracle or similar database systems is a plus
  • Excellent verbal and written communication skills in English
  • Strong organizational abilities and attention to detail
  • Proven ability to multitask and prioritize effectively in a fast-paced environment
  • Basic to intermediate mathematical skills
  • Intermediate to advanced reasoning and problem-solving abilities
  • Exceptional customer service orientation and interpersonal skills
  • Ability to work collaboratively in a team environment
  • Flexibility to adapt to changing priorities and deadlines
  • Valid driver’s license preferred
  • Familiarity with Canadian business practices is beneficial
    Additional Information
    Salary: $21 - $23 per hour
