Description:

Job Responsibilities

  • Provide administrative support
  • Coordinate meetings/appointments – liaise with external parties and prepare meeting documents in advance.
  • Manage mailing list – send invitations and coordinate RSVPs.
  • Maintain office operations, e.g mail, supplies, equipment, and facilities.
  1. Support Board Secretariat – SBFF and MigrantWell
  • Support board/sub-committees meetings, including scheduling, venue preparation and other logistical tasks.
  • Compile meeting agenda and materials in advance.
  • Initiate paperwork for appointments, renewals, cessations of directors and related board matters, as assigned.
  1. Record Keeping
  • Collect and record data and maintain data integrity, specifically SBFF:
  • Registry
  • Customer Relationship Management
  • Measurement & Evaluation
  1. Assist with Donor Management
  • Maintain donor records in DMS Lite
  • Issue TY notes and tax-deductible receipts
  • Handle regulatory submissions including donation record submission & updates to the charity portal.
  1. Additional administrative duties as the need arises.

Job Requirements

  • Diploma or equivalent with 2 years of work experience
  • Strong organisational, communication, problem-solving, and multitasking skills, as well as the ability to work effectively both independently and as part of a team.
  • Proficient in MS office & Excel
