Description:
Job Responsibilities
- Provide administrative support
- Coordinate meetings/appointments – liaise with external parties and prepare meeting documents in advance.
- Manage mailing list – send invitations and coordinate RSVPs.
- Maintain office operations, e.g mail, supplies, equipment, and facilities.
- Support Board Secretariat – SBFF and MigrantWell
- Support board/sub-committees meetings, including scheduling, venue preparation and other logistical tasks.
- Compile meeting agenda and materials in advance.
- Initiate paperwork for appointments, renewals, cessations of directors and related board matters, as assigned.
- Record Keeping
- Collect and record data and maintain data integrity, specifically SBFF:
- Registry
- Customer Relationship Management
- Measurement & Evaluation
- Assist with Donor Management
- Maintain donor records in DMS Lite
- Issue TY notes and tax-deductible receipts
- Handle regulatory submissions including donation record submission & updates to the charity portal.
- Additional administrative duties as the need arises.
Job Requirements
- Diploma or equivalent with 2 years of work experience
- Strong organisational, communication, problem-solving, and multitasking skills, as well as the ability to work effectively both independently and as part of a team.
- Proficient in MS office & Excel
