Description:

JOB SUMMARY:

The Administrative Assistant, Student Academic Affairs provides front-line reception and assistance supporting the Academic Advising Centre and the Centre for Experiential and Career Education. They provide information to students, staff, and faculty, as well as external stakeholders.
The incumbent is the first point of contact in the departments, screening requests and scheduling appointments for students, answering queries from the public and employers. The Administrative Assistant employs broad knowledge of the university to answer questions and directs visitors to other areas and departments as required.
The incumbent maintains confidential department records and ensures the privacy of sensitive information.

QUALIFICATIONS:

Completion of a recognized certificate in office administration from a recognized post-secondary institution
Two (2) years of related experience in a post-secondary environment.
Demonstrated competence with processes, procedures, and protocols in a public post-secondary education system.
Exceptional interpersonal and written/oral communications skills, and a high level of organizational skills.
Demonstrated ability to remain calm under pressure, multi-task, maintain confidentiality, and have experience working effectively in a team environment.
Ability to work independently with minimum supervision and ability to multi-task in a fast-paced environment with frequent interruptions.
Advanced knowledge of Microsoft Office, FAST, and Banner; experience with scheduling (Achieve Appointment Manager) or student management software (Symplicity)software is an asset.
Experience creating, editing, and maintaining websites and digital platforms.
Experience maintaining electronic filing systems.
Experience with providing support for special events, marketing and engagement strategies.
Understanding of digital and print marketing design principles and awareness of design software (such as Adobe InDesign, Microsoft Publisher, Canva, etc.) an asset.
Demonstrated commitment to diversity, equity, and inclusion, and Indigenization to meet the needs of diverse students and staff and the university community.
Solid understanding of ethical guidelines and FOIPPA regulations
