Description:

Equinox Gold is a growth-focused Canadian mining company with seven operating gold mines, and a clear path to achieve more than one million ounces of annual gold production from a pipeline of development and expansion projects.

JOB SUMMARY:

Reporting to the Office Manager, the Administrative Assistant provides support to the Equinox Gold Corporate office teams. The role ensures smooth office operations ,support to other departments as needed and will be point of contact for greeting visitors and liaising with building management.

PROFESSIONAL EXPERIENCE, SKILLS & COMPETENCIES:

  • 3 + years experience in a related role, preferably in a corporate office environment
  • Ability to manage several competing priorities with frequent interruptions
  • Excellent verbal and written communications skills
  • Ability to take initiative and work independently
  • Proficiency in Spanish or Portuguese is a plus
  • Experience working in a mining company is an asset
  • Experience with SAP Concur is an asset.

Responsibilities:

  • Manage the office mail, phone line, front desk, and coordinate with couriers
  • Order and maintain office and kitchen supplies (water, coffee, milk/cream, fruit order, furniture, laptops, docks, toners, and other IT equipment)
  • Greet office visitors, ensure safety procedures are followed and provide office tours when needed
  • Maintain Office (repairs for printers, coffee machine, clean fridge, change the water filter, whiteboard installation, removal of junk, backflow test, etc.)
  • Manage office attendance and meeting room calendars
  • Coordinate with building management for access and maintenance requests, etc.
  • Manage first aid kit, AED, and printers
  • Upload PowerPoint Presentation to the lunchroom TV as required
  • Handle business card distribution, mail distribution and miscellaneous tasks
  • Renew the business license
  • Arrange flowers, gift baskets, etc. for employees when required
  • Book lunch and dinner reservations for various departments
  • Assist with organizing company social events, lunches, and other functions
  • Create, edit, scan & print documents for various departments
  • Coordinate the signing of documents by the executive team
  • Manage the corporate credit card receipts and coordinate with Accounts Payable for the reconciliation
  • Handle cheque deposits in the bank
  • Coordinate with IT for any issues in the office
  • Send the quarterly server room visitor sheet to IT Infrastructure Manager.
