We are seeking a proactive and detail-oriented Administrative Assistant to support our team with day-to-day operations, ensuring smooth workflow and organization within the office.

Key Responsibilities:

  • Answer phone calls, lead inquiries, emails, and handle general correspondence, directing inquiries to the appropriate team members & scheduling appointments.
  • Manage and organize calendars, schedules, and appointments for executives or staff.
  • Assist with the preparation and editing of documents, presentations, and reports.
  • Maintain filing systems, both electronic and physical, ensuring documents are easily accessible.
  • Coordinate office supplies, equipment, and other materials as needed.
  • Support office management with administrative tasks such as booking travel & appointments, processing invoices, and maintaining office records.
  • Provide assistance with onboarding new employees & subcontractors, including preparation of materials and setting up workstations.
  • Assist with special projects and other duties as required.

Qualifications:

  • Previous experience in an administrative role or similar field.
  • Strong communication skills, both verbal and written.
  • Proficiency in CRMs, Google Business Suite and other office software.
  • Ability to multitask and prioritize tasks effectively.
  • Exceptional organizational and time management skills.
  • High school diploma or equivalent (Associate’s degree or higher preferred).

Who do you report to:

  • Company Operations Officer and President
  • Work closely and collaborate with the individuals making the decisions to drive the success of the business forward.

When will you work:

  • Monday Through Friday 9AM - 5PM
  • Occasional work from home scheduling
  • Occasional weekends for events and trade shows.
  • Occasional overflow on evenings and Saturday mornings as needed.

Compensation:

  • $19-$24 Per hour salary D.O.E. - Exempt Status

Pay: $19.00 - $24.00 per hour
