Description:

YMCA International Services is a unique branch of the YMCA of Greater Houston and seeks to meet the needs of Houston’s significant refugee and immigrant communities. We provide comprehensive programs that focus on building human assets and fostering self-sufficiency. As an Administrative Assistant on our team, you will play an integral role in helping newcomers gain access to a wide range of social support services with the goal of becoming self-sufficient.

The Administrative Assistant’s primary responsibility will be to support the center through the following actions:

  • Responsible for opening and closing building duties on a daily basis.
  • Upholds YMCA safety protocol for those entering the building.
  • Screen each visitor for the purpose of their visit and appropriately direct them.
  • Monitor lobby to ensure clients are seen on time.
  • Provides high-quality customer services to all who enter the building or call on the phone.
  • Resolves client issues and escalates to supervisor if needed.
  • Accept client payments.
  • Provide translation and interpretation.
  • Filing of documentation.
  • Receive incoming and outgoing mail.
  • Assists with the distribution of Metro Cards.
  • Assist with printing center checks.
  • Make coffee; check/restock supplies for common areas.
  • Assist in preparing for Board meetings.
  • Assist with troubleshooting equipment issues: copiers, printers, fax machine, and telephone system as needed.
  • Participates and assists in coordinating special events, fund-raising/Better Us Campaign events and meetings.
  • Report suspicious and inappropriate behaviors and policy violations.
  • Follows mandated abuse and incident reporting requirements.
  • Meet timelines and deadlines related to supporting systems and employee compliance. Example includes but are not limited to Kronos Workforce Ready for review and approval of time sheets.
  • Other duties as assigned.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE: Bachelor’s degree (B. A.) or 4 years of customer service experience.
LANGUAGE SKILLS: Bilingual in a refugee language is desired, Spanish required. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
STAFF RELATIONS AND COORDINATION RESPONSIBILITIES: Carries out responsibilities in accordance with the organization’s policies, procedures and applicable laws. Responsibilities include understanding needs, addressing complaints and resolving problems with all who enter the building.
COMPUTER LITERACY: Skills are essential in all of the Microsoft Office applications including Word, Excel, and Access. Ability to use these programs to lighten workload, develop reports and to automate procedures is very necessary. Ability to diagnose basic PC problems and to communicate those problems is very important.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Familiarity with basic accounting principles preferred.
REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
