DESCRIPTION

We are looking for a talented Service administrator to join our team in Ottawa.
This position requires excellent customer service skills and a strong knowledge of relevant computer applications with great organizational skills. The role is specially for you if you are well-organized and able to prioritize tasks in a high-pressure environment.

In this role, you will make an impact in the following ways:

  • Answers telephones, screens calls and takes messages so callers/visitors are dealt with promptly, courteously and accurately.
  • Transcribes, type, format and proof reads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.
  • Coordinates internal and external meetings. This may include scheduling meeting times, making travel arrangements for attendees and ensuring that various meeting amenities are available. Manages the appointments and schedules of staff in the unit.
  • Uses office equipment such as photocopiers, faxes and printers.
  • Performs other administrative tasks according to established guidelines and procedures so these activities are completed accurately and on time. Activities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or inventory.

RESPONSIBILITIES

In order to be successful in this role you will need the following

  • High school or GED
  • Valid drivers license required.
  • Bilingual (English/French) considered an asset (English as primary)
  • Prior experience in customer-facing roles is required.
  • Willing to take on addition tasks such as safety administration, including site inspections and contractor management when on site.
  • Be able to be flexible and cross training to be able to assist other departments when needed.
