JOB POSTING DESCRIPTION

The Administrative Associate I is responsible for:

  • Receiving materials for inputting into various hospital and departmental databases, such as invoices, food/supply/service orders, departmental statistics, and/or other related information. Reviewing information for accuracy and completeness by adding and comparing numbers, verifying patient demographic information, or checking data against detailed lists of valid entries or codes. Identifying, documenting, and resolving omissions and discrepancies according to established procedures.
  • Inputting specified data from source documents into hospital and/or departmental computer systems by using common commercial database and spreadsheet software or specialized software packages, as required. Maintaining related logs and records.
  • Sorting, printing, and distributing various periodic reports and/or labels according to established schedules.
  • Typing routine or standardized letters, memoranda, forms, and other similar materials from a template or rough draft. Routing materials for needed signatures or authorizations.
  • Monitoring and restocking inventory of standard office supplies as necessary.
  • Providing routine office support, such as answering and routing telephone calls, opening and sorting mail, filing, collating, photocopying documents, and other related tasks, as needed.

Schedule: Monday-Friday, 8:00am-4:30pm, Hybrid after fully trained.

To qualify, you must have:

  • High School Diploma/GED. Bachelor’s degree preferred.
  • 3 months of relevant experience
  • Analytical skills to gather and interpret data in situations in which the information or problems are relatively routine.
  • Ability to exchange information on factual matters, schedule appointments, greet visitors, explain hospital policies, and/or relay messages to appropriate personnel.
  • Courtesy and tact when dealing with patients, visitors, and/or hospital employees. More sensitive situations may be referred to others as appropriate.
