Be part of the excitement and join our Engineering Science and Analysis (ESA) Administrative team! This role is expected to provide comprehensive administrative support to the Tactical Systems Engineering (80%) and Digital Engineering (20%) areas of ESA.
The selected candidate will provide a full range of administrative work assignments for our teams. We are looking for an ambitious Administrative Associate who is driven, highly organized, levelheaded, professionally mature and an effective communicator and comfortable interacting with all levels of management.
The Engineering, Science and Analysis (ESA) Strategic Capabilities Unit comprises the technical talent and organizational leadership that enables the successful delivery of high-impact discriminating technologies for our customers’ missions. REQUIRED EDUCATION, EXPERIENCE, & SKILLS

  • High School diploma or equivalent plus 2 or more years of related experience.
  • Each higher-level related degree, i.e., Bachelor’s or Master’s, may substitute for two years of related experience. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
  • Extensive computer knowledge (Microsoft Office Applications) and high-level administrative skills.
  • Ability to work with considerable independence and as part of the team.
  • Ability to work under pressure and handle multiple assignments concurrently.
  • Demonstrated decision making based on knowledge of organization policies and procedures, and the Director’s requirements.
  • Ability to maintain confidentiality concerning sensitive information.
    A DoD Interim Secret clearance will be required to start work and required to be maintained to continue work. Higher level clearance or access with Polygraph is not required to be eligible for this position. However, the applicant must be willing and eligible for submission, depending on program requirements, after an offer is accepted and must be able to maintain the applicable clearance/access.

Responsibilities:

  • Support the Department’s senior leaders with daily tasks and provide a proactive stance for assessment of coming events and assignments.
  • Perform a wide variety of administrative tasks for team members in the Tactical Systems and Fusion organizations.
  • Manage and facilitate a high volume of purchases for this group, including creating and using detailed tracking spreadsheets, PCard processing and expense monitoring.
  • Maintain and proactively manage calendars for managers, schedule meetings, deconflict appointments and ensure the smooth flow of operations via accurate time management.
  • Schedule interviews, facilitate candidate pick up/drop offs, coordinate with interview panel.
  • Disseminate “APB” and other all-team communications, including service anniversaries and announcements relevant to the entire group.
  • Manage reporting and data coordination both up and down enterprise reporting lines.
  • Perform inventory, ordering and stocking of supplies for the unit.
  • Prepare written documents, communications, and presentation materials for meetings and convenings.
  • Set-up and facilitate meetings with proficiency; keep minutes as necessary and order catering when requested.
  • Coordinate office moves for new and current program team members.
  • Make travel arrangements and reservations in compliance with corporate guidelines.
  • Prepare post-travel and business expense reports using Concur.
  • Perform computer data entry, retrieval, and word processing. Operate other computer software programs and various other types of office equipment.
  • File and retrieve records, folders, or other materials.
  • Coordinate engagement events and training for the unit.
  • Learn and become proficient in enterprise systems, rules and procedures.
  • Work with sensitive and confidential information.
  • Maintain a regular and predictable work schedule.
  • Establish and maintain effective working relationships within the department, the Strategic Business Units, Strategic Capabilities Units and the Company. Interact appropriately with others in order to maintain a positive and productive work environment.
  • Perform other duties as necessary.
    On-Site Work Environment: This position requires regular in-person engagement by working on-site five days each normally scheduled week in the primary work location with one of those days onsite with the Digital Engineering team (Broomfield). Travel and local commute between company campuses and other possible non-company locations may be required.
