DESIGNATION : Administrative Associate (Volunteer Management) (2 year contract)
QUALIFICATIONS
- Proficiency in Google Suite and Looker Studio is a must
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- Detail-oriented with a high level of accuracy

- Experience:
- Minimum of 1-2 years of administrative experience
- Experience in volunteer coordination or community engagement is a plus
- Availability to work on some weekends, with compensation provided through time off
- Education:
- Diploma or equivalent in Business Administration, Office Management, or related field preferred
Responsibilities:
The Admin Executive will assist the Community Partnership Manager in managing administrative tasks, maintaining trackers, and handling volunteer-related administrative work across our six nursing homes. This position requires excellent organizational skills, attention to detail, and the ability to work collaboratively with various teams to support the effective management of our volunteer programs.
- Administration:
- Provide administrative support to the six nursing homes, including preparing meeting slides for each home and assisting the Manager in managing processes and creating templates
- Update departmental volunteer records, files, and databases
- Trackers and Reporting:
- Develop and maintain trackers to monitor specific programmes, program metrics, and other relevant data for six nursing homes ensuring data accuracy and timely delivery
- Volunteer Coordination:
- Support the organization of volunteer appreciation events, training sessions, and other related activities
- Handle volunteer inquiries and provide support as needed to ensure a positive experience for all participants
- Communication:
- Assist in creating flyers, updates, training posters, and other communications for volunteers and stakeholders
- Other Duties:
- Assist with special projects and initiatives as assigned
- Provide backup support to other team members when they are on leave
