ABOUT THE ADMINISTRATIVE ASSOCIATE POSITION

We are seeking a highly organized and detail-oriented Administrator to support our Venue Engagement team. In this role, you will manage a variety of client-related tasks, including maintaining contact lists, coordinating contract renewals, and addressing client inquiries in a timely manner. Your expertise will ensure smooth operations by keeping our client data accurate and up to date, while collaborating with other team members to enhance overall efficiency. The ideal candidate will have at least 3 years of experience in administrative support, strong proficiency in Google Workspace and Airtable, and the ability to juggle multiple priorities with precision. We are looking for a team player with excellent communication skills, a proactive approach, and a commitment to maintaining high standards of organization and professionalism.Our US partner operation has pioneered the conversion of over 60 US planetariums into pop-up mainstream immersive evening venues, re-imagining what a planetarium can be. Our first two immersive shows Mesmerica and Beautifica are the fastest-selling planetarium shows ever, blowing minds and mending hearts with a potency unique to the immersive medium.

SKILLS AND QUALIFICATIONS:

  • Minimum 3 years of administrative support experience, ideally in a fast-paced environment.
  • Proficiency in Google Workspace (Docs, Sheets, etc.) and relational databases such as Airtable.
  • Ability to manage multiple priorities in a high-demand environment.
  • Experience managing client relationships in a support role.
  • Ability to handle multiple tasks and requests with accuracy and professionalism.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication abilities.
  • Team player with a positive and proactive attitude.

Responsibilities:

RESPONSIBILITIES:

  • Provide administrative support to the Venue Engagement team, with a focus on managing client-related tasks.
  • Maintain and update client contact lists, ensuring accurate and organized data for all team members.
  • Coordinate client contract renewals, ensuring deadlines are met and documents are processed promptly.
  • Collaborate with the department administrator to resolve client inquiries efficiently.
  • Maintain an organized filing system and ensure proper storage of digital documents.
