Wiss, Janney, Elstner Associates, Inc. (WJE) is a nationally recognized engineering and architecture firm that attracts and develops industry leaders at all organizational levels. Our Boston office, located in the financial district, is currently seeking a full-time Administrative Associate to provide project and office support for our engineers and architects and to become part of our team.
WJE’s Boston office has a staff of twenty-one associates who enjoy a casual but professional environment. Our administrative and technical staff work closely together to provide our clients with excellent customer support and unsurpassed work product. The position includes a wide variety of responsibilities and a successful person in this role will have the opportunity to develop many skills.
The ideal candidate is consistently professional, thorough, an independent thinker/self-starter, and motivated to provide excellent support to both staff members and WJE clients.

REQUIREMENTS:

  • High school diploma or equivalent, and two or more years of related administrative support experience and the ability to work within a team environment
  • An interest or previous experience in marketing and communications (preferred)
  • Proficiency in Microsoft Word, Excel, PowerPoint and Teams as well as willingness/ability to learn other software packages
  • Experience with Deltek Vision and Bluebeam preferred
  • Excellent editing and proofreading abilities
  • Strong verbal and written communication skills
  • Ability to troubleshoot standard office equipment
  • Other skills: ability to handle multiple needs at once; adaptability to new situations; ability to think beyond the task at hand; attention to detail; and organizational skills

PHYSICAL REQUIREMENTS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires visual acuity and listening ability along with the ability to read and write. Individuals must have the dexterity to be able to operate office equipment such as computers, printers, copiers, telephones, voicemail systems, and other office equipment. The position requires the ability to remain for extended periods at a workstation, as well as the ability to lift 25 pounds.
Annual starting base salary (gross): $45,000 - $66,200. Actual salaries will vary and will be based on several factors including consideration for a candidate’s qualifications, skills, competencies, and proficiency for the role. Base salary is one component of our total compensation package for employees. Responsibilities:

  • Provide administrative review (formatting/grammar) of technical reports and presentation materials utilizing multiple software programs and digital images
  • Coordinate and maintain incoming and outgoing project-related correspondence and documentation
  • Assist project managers with administrative project needs (milestones, accounting research, conflict checks, etc.)
  • Coordinate responses to Requests for Proposals/Qualifications and support a variety of marketing initiatives
  • Organize internal/external meetings, activities, and events including creation of agendas and meeting minutes as needed
  • Oversee facility needs with property manager and maintain the office appearance and supplies
  • Perform administrative tasks including managing supply orders, assisting with FedEx shipments, being an approachable resource for the staff, and maintaining our office library
